The Solo & Strong Club ("TSSC", "we", "us" or "our") respects your privacy and handles personal information in accordance with Japan's Act on the Protection of Personal Information (APPI) and other applicable laws and regulations.

Depending on how you use our website, mailing list, forms and events, we may collect:

  • information you provide when registering for an event, such as the event selected, attendance details, preferred language, general location or whether children will accompany you;

  • messages, enquiries, feedback and survey responses you send to us;

  • records of consent, registration, attendance and email preferences;

  • technical and usage data, such as IP address, browser and device information, pages visited, referral source, approximate location, date and time of access, and interactions with our website or emails; and

  • any other information you voluntarily provide to us.

Please do not submit medical, health or other highly sensitive information unless it is genuinely necessary. If limited health, accessibility or emergency information is needed to help you participate safely in an event, we will use it only for that purpose and handle it with particular care. We do not intentionally collect personal information directly from children. A parent or legal guardian should provide any information necessary concerning a child who accompanies them.

3. How we collect personal information

We collect information directly from you when you subscribe, register, complete a form or survey, attend an event, contact us or otherwise communicate with us. We may also collect limited technical information automatically through cookies and similar technologies when you use our website.

4. Purposes for which we use personal information

We use personal information only to the extent necessary for the following purposes:

  • to process and manage registrations for TSSC events;

  • to send confirmations, access links, reminders, updates, changes, cancellations and other information relating to an event or service you requested;

  • where you have subscribed or otherwise consented, to send TSSC newsletters and information about future events, community activities and related offerings;

  • to respond to enquiries and provide support;

  • to administer events, support participant safety and communicate in an emergency;

  • to collect feedback and improve our website, events, communications and community activities;

  • to understand website traffic and the effectiveness of links and communications;

  • to maintain records, prevent misuse, protect our rights and the safety of participants, and ensure the security of our services; and

  • to comply with legal obligations and respond to lawful requests from public authorities.

We will not use your personal information beyond the scope reasonably related to these purposes without obtaining your consent, unless permitted or required by law.

5. Email communications and withdrawal of consent

If you join the TSSC mailing list, we may send you information about TSSC events, activities and related community news. You can unsubscribe at any time by using the unsubscribe link in an email or by contacting us. Unsubscribing from general emails does not prevent us from sending essential administrative messages about an event for which you are currently registered.

Withdrawal of consent does not affect the lawfulness of handling that took place before the withdrawal.

6. Cookies and analytics

Our website may use cookies and similar technologies that are necessary for the website to function. We also use Google Analytics to understand, in aggregated form, how visitors find and use our pages. Google Analytics may collect information such as device and browser data, pages viewed, approximate location, referral source, IP-related information and online identifiers. Google may process this information on our behalf in accordance with its own terms and privacy practices.

7. Service providers and entrusted processing

We may entrust personal information to carefully selected service providers only as necessary to operate TSSC. These may include:

  • systeme.io (ITACWT Limited) for website hosting, forms, contact management and email delivery;

  • Google for website analytics, forms, documents or related services where used;

  • Zoom Video Communications, Inc. for online events where used; and

  • other technical, professional or event-support providers where reasonably necessary.

These providers process information for us or provide tools that we use. We select and supervise providers appropriately and require personal information to be handled securely within the scope of the entrusted work.

8. Overseas handling and transfers

Some service providers or their servers may be located outside Japan, including in the European Union and the United States. As a result, personal information may be stored or processed in countries whose privacy laws and systems differ from those of Japan.

When we provide personal data to a third party located outside Japan, we will obtain consent and provide legally required information, or rely on another method permitted under the APPI. Where a provider handles information on our behalf, we take reasonable and appropriate steps to understand and supervise its data-protection arrangements. Further information about relevant overseas processing and safeguards is available on request, to the extent required by law.

systeme.io states that its data is hosted on Amazon Web Services servers in Ireland. Other providers may process information in multiple countries as described in their respective privacy notices.

9. Disclosure to third parties

We do not sell or rent personal information. We do not provide personal data to third parties without your prior consent, except where:

  • processing is entrusted to a service provider as described above;

  • disclosure is required or permitted by law;

  • it is necessary to protect a person's life, body or property and obtaining consent is difficult;

  • it is particularly necessary for public health or the sound development of children and obtaining consent is difficult;

  • cooperation with a national or local public authority is required by law and obtaining consent could interfere with that authority's duties; or

  • the business is transferred through a merger, succession or similar transaction, subject to applicable legal requirements.

10. Photographs, recordings and participant privacy

Online sessions and community conversations are not recorded by us unless participants are informed in advance and any consent required by law is obtained. We will not publish an identifiable photograph, video, testimonial or personal story of a participant without appropriate permission.

Participants are expected to respect one another's privacy. However, TSSC cannot guarantee that another participant will keep information shared during a group event confidential. Please share only what you are comfortable sharing in a group setting.

11. Security measures

We take reasonable and appropriate organisational, technical and physical measures to prevent unauthorised access, loss, destruction, alteration or leakage of personal data. These measures include limiting access to those who need it, using password-protected systems, applying available security controls and appropriately supervising service providers. Further information about our security measures is available on request, to the extent required by law and without compromising security.

12. Retention and deletion

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including event administration, communications, dispute resolution, security and compliance with legal or accounting obligations. When information is no longer required, we delete it or anonymise it using reasonable methods.

Mailing-list information is generally retained until you unsubscribe or request deletion, subject to any limited record we must keep to honour your opt-out or comply with law. Retention periods for technical data may also depend on the settings and policies of the service providers we use.

13. Your rights and requests

Subject to the APPI and other applicable law, you may request notification of the purposes of use, disclosure of retained personal data or records of certain third-party transfers, correction, addition or deletion of inaccurate information, suspension of use, erasure, or suspension of provision to third parties.

To make a request, email hello@soloandstrong.club with your name, the nature of your request and sufficient information for us to identify the relevant records. We may ask for reasonable proof of identity. We will respond without undue delay and in accordance with applicable law. A fee may be charged for disclosure requests where permitted by law; if so, we will inform you in advance.

14. External links and social media

Our pages and emails may link to third-party websites or social-media services, including Instagram. Those services operate under their own privacy policies, and we are not responsible for their independent handling of personal information.

15. Changes to this Privacy Policy

We may revise this Privacy Policy when our practices, services or legal obligations change. The updated version will be posted on this page with a revised “Last updated” date. If a change materially affects how we use personal information already collected, we will provide appropriate notice and obtain consent where required.
